Attendance Approvals
Employees can use mySparkrock to create attendance requests for absences, for example, vacation and sick time. When an employee submits an attendance request through mySparkrock, an approver can open the Attendance Approvals page, to view the request, and then approve or reject the request.
To help an approver make a decision regarding whether to approve or reject an absence request, the Attendance Approvals page includes a Team Calendar tab. The Team Calendar tab displays attendance requests for the approver's direct reports.
Approve or reject an attendance request
An approver must determine their response to an attendance request, and then approve or reject the request. Alternatively, an approver can choose to cancel an attendance request. When an approver cancels an attendance request, the request Status changes to Open. This design provides the capability for the requestor to make changes to the request, and then submit the request for approval again.
To approve or reject an attendance request
Go to Manager Self Service > Attendance Approvals.
The Attendance Approvals page opens and displays the attendance requests that you are responsible for approving or rejecting.
On the attendance request that you want to view, choose View.
The specific attendance approval displays.
Perform one of the following procedures:
To approve the request, perform the following steps:
Choose Approve.
The Approve Request dialog box appears.
(Optional) In Comment, specify a comment.
Choose Yes.
To reject the request, perform the following steps:
Choose Reject.
The Reject Request dialog box appears.
In the Comments field, enter an explanation about why you are rejecting the request.
Choose Yes.
To cancel an approval request, perform the following steps:
Choose Cancel Approval Request.
The Cancel Request dialog box appears.
Choose Yes.
mySparkrock changes the Status of the request to Open.
Create an attendance request
If required, an approver can create an attendance request on behalf of an employee. For example, an employee calls in sick and the manager wants to record the sick day on behalf of the employee.
To create an attendance request
Go to Manager Self Service > Attendance Approvals.
The Attendance Approvals page opens.
Choose New Request.
A new attendance request opens.
In Employee No., specify the number that represents the employee.
In Type, specify the type of absence.
After completing the fields in the Absence section, the Calculation Details section displays the employee’s current balance for the absence type selected.
In From, specify the date the absence is to start or has already occurred.
In To, specify the date the absence is to finish.
In Quantity, specify the appropriate number to correspond with the absence using the correct unit of measure that is displayed to the right of the Quantity field.
For example, the unit of measure is Hour for sick days and Day for vacation days. For a sick day, you would enter 7 and for a vacation day you would enter 1.
Choose Save.
A Saved Successfully message appears.
Monitoring attendance request approvals as an alternate
If an employee is an alternate for a manager, the employee can view the absence requests for employees that report to the manager. This is helpful for ensuring request submissions are dealt with in a timely manner.
To view requests and approvals for someone for whom you are acting as a alternate
Go to Manager Self Service > Attendance Approvals.
The Attendance Approvals page opens.
In Alternate, specify the individual whose requests or approvals you want to view, complete, or both.
The one or more attendance approvals for the selected individual display.
