Copy payment request details from a template
mySparkrock provides the capability for you to copy details from a public or private template into a payment request with the Status of Open, so that you do not need to re-enter recurring information. A public template is available to anyone who has access to the payment request document type, and a private template is available only to the person who created the template.
Budget checking is not automatically run on a payment request that is populated from a template. You must select Verify on the payment request to run budget checking.
To copy payment request details from a template
Select Finance and Purchasing > Payment Requests.
The Payment Requests page opens.
Select the payment request that you want to populate from a template, or select New to create one.
The Payment Request page opens.
Select Copy.
The Copy from Template dialog box opens.
Specify values for the following fields:
- Document Type: Select Public Template or Private Template.
- Document No.: Select the template that you want to use from the list of available templates for the document type that you selected.
- Include Header: When this toggle is turned on, the general fields on the payment request are automatically populated from the template. When this toggle is turned off, the general fields are not populated, and you enter them manually. This toggle is turned on by default.
- Recalculate Lines: When this toggle is turned on, the unit amount on each line that is copied is automatically populated based on the item's own defaults, rather than the amount that is stored on the template. When this toggle is turned off, the unit amount on each copied line matches the amount that is stored on the template. This toggle is turned on by default.
- Copy Comments: When this toggle is turned on, the Internal Comment and External Comment values from the template are automatically populated. When this toggle is turned off, the Internal Comment and External Comment fields stay blank. This toggle is turned off by default.
Select Ok.
mySparkrock populates the payment request with the fields from the template that you selected.
